What data we collect

We primarily process:

  • First and last name

  • Email address

  • Phone number

These details are collected at first contact, whether by email, phone, or a contact form on our website. If you share other information about yourself in an email reply, that information is also processed under this policy.

Our website also uses cookies and Google Analytics for visitor statistics. See the Cookies and analytics tools section below.

Why we process your data, and on what legal basis

  • Kommunicera med befintliga kunder och besvara förfrågningar — Fullgörande av avtal / berättigat intresse

  • Nyhetsutskick och marknadsföring till potentiella kunder — Samtycke

  • Webbplatsstatistik (Google Analytics) — Samtycke (via cookiebanner)

  • Bokföring och fakturering — Rättslig förpliktelse

You can withdraw any consent you've given at any time — see the Your rights section.

How we protect and process your data

We use the following systems and providers to handle personal data securely:

  • One.com – web hosting and email

  • Visma – accounting and invoicing

  • Google Analytics – website statistics

  • Squarespace – website and customer relationship management

All providers act as our data processors and handle data under separate data processing agreements. Some of these services (e.g. Google Analytics, Squarespace) may involve transferring data outside the EU/EEA. In such cases, we ensure the transfer is covered by approved safeguards, such as the European Commission's Standard Contractual Clauses.

Cookies and analytics tools

Our website uses cookies, including for visitor statistics via Google Analytics. Cookies that are not strictly necessary for the website's functionality are only set with your consent, given via our cookie banner. You can change your cookie settings or withdraw your consent at any time.

How long we retain your data

  • Email older than three years is deleted on an ongoing basis. Each year, email between 2–3 years old is exported to an external hard drive that is not connected to the internet and is inaccessible to outside parties.

  • Personal data on contact persons at customer companies is retained for as long as the business relationship is active — meaning as long as there is some form of communication between Explainer AB and the customer company.

  • Once a business relationship ends, data is retained for an additional three years, unless longer retention is required to fulfil legal obligations or to protect our legal interests (e.g. under Swedish accounting law).

Who we share your data with

We never sell or distribute your personal data to third parties for marketing purposes. Data is only shared with:

  • The data processors listed above, in order to deliver our services

  • Authorities, if we are legally required to disclose information

You have the right to:

  • Access (request an extract of) the personal data we hold about you

  • Request correction of inaccurate data

  • Request deletion of your data ("the right to be forgotten")

  • Request restriction of processing

  • Object to processing based on legitimate interest

  • Receive your data in a structured format (data portability)

  • Withdraw any consent at any time, after which you will no longer receive communications from us

Contact us at integritet@explainer.se to exercise any of these rights.

If you are not satisfied with how we handle your data, you also have the right to lodge a complaint with the Swedish Authority for Privacy Protection (IMY), imy.se.

In the event of a personal data breach

If a breach or security failure occurs that risks exposing sensitive information, we will notify affected individuals and take steps to limit the damage, in accordance with applicable law.
